Getting Started
👋 What is EquipAI?

EquipAI is a professional equipment management and AI-powered diagnostics app designed for technicians, property managers, homeowners, and maintenance professionals.

With on-device Apple Intelligence, you can photograph your equipment and receive instant analysis — no cloud, no account, no data leaving your device.

📱 System Requirements

EquipAI requires the following to run:

📲 iOS 18.4 or later 🧠 Apple Intelligence 📱 iPhone 15 Pro or later 📱 iPhone 16 series 💻 iPad with M1 or later

Note: Equipment lookup and manual entry work on all supported devices. AI-powered photo analysis specifically requires an Apple Intelligence–capable device.

🚀 How to Add Your First Piece of Equipment
  1. 1Open the app and tap the Equipment tab.
  2. 2Tap the + button in the top-right corner.
  3. 3Choose Look Up Equipment and enter a model number, or tap Add Equipment to enter details manually.
  4. 4Fill in the location and any additional notes, then save.

🔍 How Does Equipment Lookup Work?

Enter a model number in the lookup tool and EquipAI will match it against a built-in database of 70+ major manufacturer prefixes. When a match is found, specifications like BTU rating, efficiency ratings, and compatible parts are automatically filled in.

You can also use the Enhanced Lookup option to connect manufacturer APIs for even more detailed data. API keys are stored securely in the iOS Keychain.

🔢 What Does the Serial Number Decoder Do?

Many HVAC manufacturers encode the manufacturing date directly into the unit's serial number. The serial number decoder parses this information so you can quickly determine when a unit was built — useful for warranty checks and estimating remaining lifespan.

My Model Number Isn't Found

The built-in database currently covers 70+ major manufacturer prefixes. If your model isn't recognized, you can still add the equipment manually and fill in the specs yourself.

If you're frequently looking up models from a manufacturer that isn't supported, please let us know — we're continuously expanding the database.

AI Inspections
📸 How Do AI-Powered Inspections Work?
  1. 1Tap the Inspections tab and create a new inspection.
  2. 2Take a photo or select one from your library.
  3. 3EquipAI analyzes the image entirely on your device using Apple Intelligence.
  4. 4You'll receive a diagnosis including detected issues, a severity rating, and repair recommendations.
  5. 5Tap Ask Follow-up Questions to continue the conversation with the AI.
💬 What Can I Ask in the Follow-up Chat?

The AI chat remembers your full inspection context, so you can ask detailed follow-up questions in plain English. Common examples:

  • What is the estimated cost to repair this?
  • Can I fix this myself, or do I need a professional?
  • How urgent is this issue?
  • What parts do I need for this repair?
  • How do I prevent this from happening again?
🧠 Why Can't I See AI Features?

AI features require Apple Intelligence, which is available on iPhone 15 Pro or later running iOS 18.4+. Make sure Apple Intelligence is enabled in your device Settings → Apple Intelligence & Siri.

All other features — equipment management, lookup, and manual inspections — work on any supported iOS device.

Customers
👤 How Do I Manage Customers?

The Customers tab lets you create and manage customer records. You can associate equipment and inspections with specific customers, making it easy to track service history per site or property.

Tap the + button in the Customers tab to add a new customer, then link equipment to them from the equipment detail view.

Data & Settings
☁️ How Do I Back Up My Data?

EquipAI stores all data locally using SwiftData. To sync across your devices, enable iCloud in your device's Settings app. When iCloud is enabled, your equipment, customers, and inspections will automatically stay in sync.

You can also enable Auto Backup in EquipAI's Settings tab for an additional layer of protection.

⚙️ What Settings Are Available?
  • API Keys – Configure manufacturer API keys for enhanced equipment lookup.
  • Notifications – Enable or disable push notifications.
  • Auto Backup – Automatically back up your data.
  • Measurement System – Switch between Imperial and Metric units.
  • Default Equipment View – Choose between list or grid view.
🔒 Is My Data Private and Secure?

Yes. EquipAI is built with a privacy-first design:

  • All AI analysis happens entirely on your device — photos never leave it.
  • No account is required to use the app.
  • No data is shared with third parties or used for advertising.
  • API keys are stored securely in the iOS Keychain.
  • The app works completely offline.
Dashboard
📊 What's on the Dashboard?

The Dashboard gives you a quick overview of your entire HVAC operation:

  • Total equipment count and status at a glance.
  • Recent inspections and any critical issues flagged by AI.
  • Maintenance activity history.
  • Quick access to your most-used equipment.
Troubleshooting
⚠️ The App Crashes or Freezes
  1. 1Force-close the app and reopen it.
  2. 2Make sure you're running the latest version of iOS and EquipAI.
  3. 3Restart your device.
  4. 4If the issue persists, contact us with a description of what you were doing when it crashed.
🔋 The App Is Using a Lot of Battery

On-device AI analysis is compute-intensive and will use more battery during active inspections. This is normal. To reduce overall usage:

  • Close the app when you're not actively using it.
  • Disable background app refresh for EquipAI in iOS Settings if you don't need it.
  • Ensure your device is updated to the latest iOS for the best battery optimization.
📷 Camera or Photo Library Access Denied

EquipAI needs camera and photo library access to take and store inspection photos. If you denied permission:

  1. 1Open your device Settings app.
  2. 2Scroll down and tap EquipAI.
  3. 3Enable Camera and Photos permissions.
